In Flexitive, we use Folders and Sub-Folders to help organize your designs.
Having a well-defined Folder structure makes it easier for you and the members of your team to find things quickly. This article details the Folder structures we have found to be fast, easy to use, and effective.
Folder Structure
To easily find designs, we recommend clear and distinct labels for the Folders in your Library. Creating new folders and sub-folders is easy; check out our article on Creating New Folders.
Some of the most common folder structures are:
- Folder Name: Brand > Sub-Folder Names: Products
Identifying your folder by Brand and your sub-folder by Products associated with that brand is an effective folder structure if:- You will be building design for a large number brands
- The brands you are building for will have multiple products
- Folder Name: Product > Sub-Folder Names: Campaign (e.g. where it will be targeted, when it will be released, etc.)
Identifying your folder by Products and your sub-folder by Campaigns associated with that product is an effective folder structure if:- You are building lots of campaigns for a few specific products
- The campaigns you are building have distinct characteristics (e.g. Date, Location or Demographic)
- Folder Name: Client > Sub-Folder Names: Campaign
Identifying your folder by Client and your sub-folder by Campaigns built for that client is an effective folder structure if:- You have a large number of repeat clients
- The campaigns you build for those clients are generally small and can be organized in one sub-folder
Custom Design Templates and Global Assets
When accessing your Flexitive instance, there will be 2 folders at the top of each library called 'Custom Design Templates' and 'Global Assets'. These two folders, included by default, are the perfect place to store assets and designs that you will re-use across a variety of designs and campaigns.
Custom Design Templates can be used to store designs that you plan to re-use across a variety of designs. If you'd like to use a design as a template, you can Duplicate the design and then make edits to the duplicate. On an Flexitive Enterprise plan, you can also set the design to appear in the Template Selection screen, so it's always available when you start a new design.
If you've created a Flexitive design that you will be using as a Global Asset in Flexitive, storing it in the Global Assets folder is a great way to make it easy to find at a later date for both you, and the rest of your team.
Naming Designs
Naming your designs is an important part of organizing your Flexitive site. Names for your design should be unique and easily identifiable.
It is also helpful to fill in descriptions and unique identifiers for your designs. These can be placed in the description and ID fields of the design. For more information, check out our article on Labeling Your Designs.
Workflow Tools
In Flexitive, a Workflow option is available for each design. The Workflow option allows you to label each of your designs as one of the following:
- Mock-Up
- In Progress
- Review
- Approved
- Live
- Archived
By default, the Workflow status of each design is set to In Progress. To change the status, select the Workflow dropdown on each design and choose a new status.
You can sort the designs in your library by their current workflow status using the filter in the top left corner of the middle panel.
In addition to making designs easily identifiable, the Live and Archived have additional advantages.
If a design is marked as Live, the design becomes 'locked' for editing. If a user tries to edit a design that is locked for editing, a warning message will appear. For more information, check out our article on Locked Design.
Archived designs are hidden from view in the middle panel when the Workflow Status filter is set to All. Hiding Archived designs keeps your sub-folders clean and easy to manage. You can always access an Archived design by changing the Workflow Status filter to Archived.
Adapting an Existing Structure
If you have an existing method for organizing your design, it is usually easier to either use the structure you used outside of Flexitive or to adapt it slightly to leverage the workflow options in Flexitive.
